Inventory Specialist

About the Role:

The Inventory Specialist is responsible for maintaining accurate inventory records and ensuring timely, accurate processing of inventory transactions to support operations. This role partners closely with Operations, Purchasing, and Finance to manage inventory receipts, transfers, issues, and adjustments in the ERP system; investigate and resolve inventory variances; and support monthly cycle counts and the annual physical inventory. The position also assists with RMA/vendor return activities, related documentation, and select month-end and inventory costing transactions while helping to improve procedures that strengthen inventory accuracy and meet corporate inventory value goals.

 

This position demands strong organizational skills, attention to detail, and the ability to work both independently and collaboratively within a dynamic workplace.

 

Key Responsibilities:

  • Actively participate in all inventory control-related activities, including tracking, documenting, and updating inventory status to support operational needs.
  • Update receipts of goods and invoice records comprehensively and accurately in our ERP system to maintain up-to-date inventory data.
  • Serve as the primary back-up for processing all inventory transactions such as transfers, issues, and adjustments, ensuring seamless continuity of operations.
  • Investigate and resolve inventory variances to maintain data accuracy and operational efficiency.
  • Conduct monthly physical cycle counts, accounting for all results through accurate transaction posting and support the annual physical inventory process as part of the inventory control team.
  • Manage Return Merchandise Authorization (RMA) procedures, including the physical return of items to vendors for credit, system transaction processing, and follow-up to ensure vendor credits are received correctly.
  • Contribute to month-end closing activities related to inventory accounting, data entry, and inventory costing to ensure financial records align with physical inventory status.
  • Responsible for developing, documenting, and maintaining efficient processes and procedures to enhance the accuracy and effectiveness of inventory count methods and reporting.
  • Perform other warehouse duties such as shipping and receiving as needed. 

 

Qualifications and Skills:

  • Associate's degree with three years of relevant experience or equivalent combination of education and experience in a similar position required. 
  • Knowledge of ERP and inventory software. 
  • Computer literacy with demonstrated knowledge of MS Office required (Outlook, Excel, etc.)
  • Strong ability to work independently with minimal supervision while maintaining a high standard of accuracy and attention to detail.
  • Excellent organizational, verbal and written communication, and interpersonal skills required. 
  • Must be willing to contribute within a team environment
