Material Coordinator

The Material Coordinator is responsible for ensuring accurate, efficient, and timely handling of inbound materials, stockroom organization, outbound order processing, and other related duties. This role supports warehouse operations by maintaining high standards of accuracy, documentation, and organization to ensure smooth process flow and reliable fulfillment for internal teams and customers. Working as part of the Operations Department, there is a need for close collaboration with Sales, Accounting, and Technical Services departments in Mexico and in the US.

 

Main Duties:

  • Receive incoming materials, parts, and supplies in accordance with company procedures.
  • Perform detailed checks of all received materials against purchase orders, packing slips, and invoices to ensure quantity, accuracy, and condition.
  • Maintain complete and accurate receiving documentation and update ERP or inventory management systems accordingly.
  • Identify discrepancies and coordinate with purchasing, vendors, or internal stakeholders to resolve issues.
  • Accurately label all received materials with proper identification.
  • Arrange and store materials in a logical manner.
  • Maintain a clean, orderly, and well‑organized stockroom to support efficient workflow, quick material retrieval, and accurate inventory control.
  • Participate in routine cycle counts and physical inventory activities.
  • Process sales orders in a timely manner, verifying material availability, accuracy, and order requirements.
  • Pick, stage, and prepare items for packing and shipment as needed.
  • Obtain proof of delivery to customers from shippers, such as DHL, UPS, FedEx, LTL and match to corresponding invoice..
  • Communicate shortages, delays, or special requirements with internal stakeholders.

 

Qualifications:

  • Technical Degree
  • Minimum of 3 years relevant experience. 
  • Must be able to communicate in English
  • Computer experience required, including demonstrated knowledge of Microsoft Office and experience using an ERP system.
  • Must demonstrate excellent communication, organizational, and decision-making skills.
  • Individual must be team, customer, and sales oriented.
  • Valid Driver’s License, Passport, and travel visa required.
  • Must be able to follow the Mexico standard NOM-036 for manual handling of loads.
  • Must be able to operate a forklift.
